How to use this practice

Scenario

You are an audit senior reviewing the purchases system of Karim Traders, a wholesaler of electrical goods with revenue of $18,000,000. You have documented the system as follows.

Warehouse staff order goods from suppliers by telephone when inventory looks low, and no written purchase order is made. The goods received note (GRN) is prepared by the storekeeper, who also has access to the inventory records. Suppliers' invoices are sent to the purchasing manager, who checks them against the order that he remembers, approves them and passes them to the accounts clerk for posting. The same clerk also updates supplier bank details in the supplier master file when suppliers send changes by email.

Payments are made each Friday by cheque. The finance director signs the cheques, and when she is away she signs a number of blank cheques in advance. Supplier statements are not requested or reconciled with the purchase ledger. Management says it has no time for these checks.
